Use AI to draft pest-control replies without guessing
First confirm that a labeled form test reaches your inbox. Then use an approved AI tool to summarize the inquiry and draft a reply. Check it beside the original message before you send it.
Watch the 6:21 walkthrough
Published on YouTube September 24, 2026. The video uses Daniel's AI avatar and cloned voice. Its customer inquiry is fictional. YouTube provides the player and processes playback information.
1. Prove the message reaches your inbox
Start at your own Google profile on a phone. Follow the website link to the contact form. Coordinate with the receiving team and send a clearly labeled test using contact details you control.
Open the intended inbox and match the message and test label. A thank-you page only tells you what the website displayed. It doesn't prove delivery. If the message is missing, check spam and the form's destination before adding AI.
Keep a dated note of the route you tested and the result. Use your own business for this check; don't send test messages to unrelated companies.
2. Give AI a small drafting task
Practice with fictional information. Use real customer details only in a tool your business has approved for that information.
The video's example mentions small bugs in a kitchen at night, Tucson, a dog, a toddler, a preference for Friday and a question about price. Those are facts to preserve. They don't identify a pest, establish availability or set a price.
Ask for a summary, useful missing details and a reply draft. Keep the original inquiry beside the output. Treatment advice and business decisions stay with the responsible person.
3. Copy the prompt
This is the companion prompt provided for the video. Replace the two marked fields with fictional practice information first. The word and question limits are drafting preferences, not guarantees that an AI tool will follow them.
4. Try two fictional inquiries
Case 1: some useful detail
We keep seeing small bugs around the kitchen, mostly at night. We're in Tucson and have a dog and a toddler. Can someone come Friday, and what would it cost?
Check that the summary keeps the location, kitchen activity, nighttime observation, household details, requested day and price question. Pest identity, exact service location, start date, cost and actual availability remain unknown.
A draft can acknowledge the Friday request without confirming an appointment. Review the next questions for usefulness. If your process doesn't accept photos through that channel, remove a photo request.
Case 2: almost no detail
Need help with bugs. How much?
A useful draft asks where the activity is happening, the customer's location and when it started. It should not supply a pest name or price. If it guesses, correct the instruction and try again. You still need to review the new result.
5. Review and send it yourself
- Compare every stated fact with the original inquiry.
- Remove invented prices, appointments, response deadlines and treatment claims.
- Check the questions against your actual intake process.
- Shorten stiff wording so it sounds like your business.
- Send only after the responsible person has reviewed the draft.
The workflow shown is manual: form to inbox, then copy into Claude with the prompt, review the draft and send it yourself. The prompt can fail even when it is clear. Human review is part of the workflow.
Connecting an inbox so drafts appear automatically needs separate setup and testing. This guide doesn't install that connection or enable automatic sending.
Keep a short test record
| Form test | Date, test label, website path and intended inbox. |
|---|---|
| Delivery result | The matching message received, or the issue to resolve. |
| Draft test | Which fictional case you used and what the AI got wrong. |
| Review owner | The person who checks the reply and sends it. |
For help scoping this setup, request a quote. An inquiry does not book work or authorize a payment. You can also check the earlier steps with the profile audit guide.
